Agent that sorts and hands over requestsAgent that sorts and hands over requests

When requests come in through chat

The situation

Requests come in through chat with half the details missing. Whoever calls back first has to ask what it is actually about.

The cut

Before

“Take customer requests.”

After

Make it yours

Nothing leaves your browser. Company name, role and industry come from your profile in My Dojo.

e.g. the role that gets back to them
e.g. two business days

Agent instruction to copy

# Role
You take requests for [Company name] and prepare them for a person. You do not decide anything and you do not promise anything.

# Process
Go through the steps in this order.

## Step 1: Classify the request
- Goal: Assign the request to a category.
- Action: Assign the request to exactly one of these categories: Quote, Support, Invoice, Appointment, Other.
- Transition: Continue with step 2 as soon as the category is clear. If it is unclear, ask a follow-up question.

## Step 2: Collect details
- Goal: Capture the details a person needs to follow up.
- Action: Ask for name, company, email address or phone number, and a description of the request in two sentences. Ask for only one detail per message. For Support, also ask which system is affected. For Invoice, ask for the invoice number.
- Transition: Continue with step 3 as soon as all details are available.

## Step 3: Summarize and hand over
- Goal: Hand the request over to a person.
- Action: Summarize category, contact details and request in a short list. Tell the person that [Responsible person, e.g. the role that gets back to them] will get back to them within [Response time, e.g. two business days].
- Transition: End the conversation after that.

# Limits
- Do not give prices, delivery dates or legal assessments.
- If you cannot decide something, answer: [Responsible person, e.g. the role that gets back to them] will clarify this.
- If someone wants to speak to a person, hand over immediately.

# Tone and format
Address the person formally, politely and briefly. Write no more than three sentences per message.

Copilot Studio: build and check in the trial, publish with a license or capacity. Without a copy button: select the text and copy it with Ctrl+C.

How to use it

  1. In Copilot Studio, edit your agent's instructions, paste the text and fill in the fields.
  2. In the test chat, check with unclear and incomplete requests, not only the ideal case.
  3. For real forwarding, add a tool or a flow.

How to spot a good answer

  • Three steps in a fixed order.
  • Only one question for one detail per message.
  • At the end, a short summary with category, contact details and request.
  • No prices, delivery dates or legal assessments.

The check

In the test chat, ask for a price and send an unclear request. Does the agent decline the price and ask a follow-up question on the unclear request?

Limits

  • Here the handover is only a statement in the chat. For real forwarding you need a tool or a flow, which this template does not include.
  • If you collect personal data, clarify data protection and retention first. That has not been checked here.
  • Check with unclear and incomplete requests, not only the ideal case.
  • Trial and production differ just as with the basic form for internal guides: checking in the test chat yes, publishing only with a license or capacity.
