The ReconnaissanceBriefing dossier before a meeting

Before a customer meeting

The situation

Tomorrow you meet the customer you have been exchanging emails, chats and minutes with for months. Who committed to what is scattered across many places.

The cut

Before

“Summarize everything about Muster AG for me.”

After

Make it yours

Nothing leaves your browser.

e.g. title of the meeting
e.g. person or company
e.g. the last three months

Prompt to copy

Goal: Prepare me for the meeting [Meeting, e.g. title of the meeting] on [Date] with [Counterpart, e.g. person or company].

Source: My emails, chats, meetings and files about [Counterpart, e.g. person or company] from [Period, e.g. the last three months].

Expectations:
1. Where things stand, in three sentences.
2. Open commitments: what I promised and what the other side promised, each with date and source.
3. Topics that stayed open at the last contact.
4. Two questions I can use to open the meeting.
Mark every detail that is based on only a single source.

With a license for Microsoft Copilot. Without a copy button: select the text and copy it with Ctrl+C.

How to use it

  1. Open it in Microsoft Copilot with a license, fill in the fields, send.
  2. Compare the open commitments with the linked sources.
  3. Confirm details that rest on only one source before the meeting, or leave them out.
  4. Without a license: upload the most important emails or minutes as files and change the “Source” line to “the attached files”.

How to spot a good answer

  • Where things stand, in three sentences.
  • Commitments from both sides with date and source.
  • Marked details that rest on only one source.
  • Two opening questions.

The check

Measure the preparation time per customer meeting, for five meetings with and five meetings without the dossier.

Limits

  • According to Microsoft, only licensed Microsoft Copilot automatically uses emails, chats, meetings and files through Microsoft Graph. Microsoft Copilot Chat without a license does not.
  • According to Microsoft, the answer only sees content you have access to.
  • Verbal agreements without a note are missing from the dossier.
